Media & Administrative Assistant

Major responsibilities

As a Media and Administrative Assistant you will:
·Establish relationships with local press and agencies,
including our local partners.
·Handle all advertising requests with co-ordination from head office.
·Budget/cost control for Marketing.
·Event Management (in co-ordination with me).
·Deal with all requests in relation to communications both internal and external.
·First point of contact for Communications from Zurich
·First point of contact with press/TV.
·Report on a monthly basis of what is happening in the region in respect to coms/marketing/competitor 'watch'.
·Review of documents for correct english/grammer etc.
·General Administration duties in connection with Coms/Events.
·Answer telephones, direct calls and take messages.
·Compile, copy, sort, and file records of office activities, business transactions, and other activities
·Complete and mail policies, invoices, and general information to clients
·Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems and personal computers
·Compute, record, and proofread data and other information, such as records or reports
·Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer
·Open, sort and route incoming mail, answer correspondence, and prepare outgoing mail
·Review files, records, and other documents to obtain information to respond to requests

Requirements
·Prior Media and/or experience necessary
·Prior experience developing briefs
·Degree/Diploma in a related field or equivalent combination of education and experience is a plus but not necessary
·Proficient in Excel, Outlook, Word etc.
·Excellent organizational skills and communication skills (written and oral)
·Perfect Command of English
·Mature, ability to work with minimal direction
·Good analytical skills, propensity for detail and problem solving
·Excellent follow-up skills, sense of urgency
·Ability to work well under pressure and on many different projects at once
